Certificates, Qualifications, and Document Checks

This page does not treat a qualification, award, patent count, or logo as proof of equipment quality. Request documents that apply to the legal entity, factory, model, process, and destination involved in the order.

Company and Factory Documents

• Business license and registered business scope
• Factory address and relationship to the contracting entity
• Export registration or customs information where the supplier acts as exporter
• Bank beneficiary and invoice entity matching the signed contract

Management-System Certificates

If ISO 9001, ISO 14001, or another management-system certificate is cited, check:

• Certificate number, holder, site address, issuing body, and accreditation
• Scope of activities and whether manufacturing is included
• Issue, expiry, suspension, and withdrawal status
• Verification through the issuer or accreditation database

A management-system certificate does not state the performance or compliance of a specific machine.

CE and Destination Compliance

For equipment intended for the European Economic Area, request the applicable EU Declaration of Conformity, manufacturer identity, machine model, directives or regulations, harmonized standards, authorized signatory, date, nameplate, user manual, and required technical documentation. Confirm which party is responsible for conformity assessment and destination-language documents.

For other destinations, identify required electrical, pressure, food-contact, safety, labeling, inspection, and import documents before production.

Patents, Awards, and Qualifications

• For patents or software rights, request the registration number, owner, jurisdiction, legal status, expiry date, and relevance to the ordered feature.
• For high-tech, specialized-enterprise, industry, tax, social-responsibility, or other qualifications, request the certificate, issuer, criteria, scope, and validity dates.
• For awards, request the award name, organizer, rules, date, recipient, and a checkable announcement or certificate.

These documents establish only what they explicitly cover. They do not replace a sample trial, factory inspection, or factory acceptance test.

Order-Specific Quality Records

• Approved drawings and bill of materials

• Material and component certificates required by the specification

• Welding, heat-treatment, calibration, pressure-test, electrical-test, and safety-test records where applicable

• Sample-trial report, factory acceptance report, manuals, spare-parts list, and packing list

• Review the factory inspection checklist

• Request document copies and an itemized quote
